Minutes of the Executive Committee Meeting, December 1, 2010

 

John Buddington called the executive committee to order at 7:15 p.m. at the Hertz home.

 

Officers present: John Buddington (chair), Charlene Bohl (vice president), Kathryn Gohl (secretary/LTN reporter), Kevin Ryan (publicity coordinator), and Cynthia Martin (director)

 

Not present: Robert Lorenz (treasurer), Eric Seidel (trails and shelters coordinator), Nancy Jordan (Trail Talk editor), Fred Jordan (membership coordinator), and Priscilla Daggett (alternate director)

 

Section members present: Ken Hertz (Web clerk), Reidun Nuquist, and Andrew Nuquist

 

OLD BUSINESS

1. Minutes of the September 15, 2010, meeting. Kevin moved and Cynthia seconded that the minutes of the September 15, 2010, meeting be accepted as corrected and submitted earlier by email. The motion passed unanimously on a voice vote.

 

2. Planning events for March-April-May. Charlene reported that she had sent out requests for events for March, April, and May but hadn't gotten many responses. Eric had added two work hikes to the schedule for May. Some possible events were suggested and confirmed at the meeting, but more are needed.

 

3. Current status report

a. Section inventory. John stated that he had completed an inventory of section property, excluding Trails and Shelters. The list includes 2 bandanas, a box of note cards, copies of the section history (he's not sure where it is), the 27-foot-long LT banner (again, not sure where it is; may be at the main club), and the section banner (Lexi may have it). Ken suggested that the bandanas and note cards be given as prizes at the annual meeting. John also mentioned that we have about seven boxes of section records, which are now residing at the secretary's home. Reidun said she may volunteer to organize them early next year and that perhaps duplicate items should go to the Vermont Historical Society. Andrew mentioned that it may be even more important that final copies of items go to the VHS.

 

As an aside, Reidun said that while she was writing the section history, there were numerous things she never found in the section records but that she knew existed, such as the section charter. A few months ago, three boxes of old records were found by a former president and turned over to the section--and they contained some of the items Reidun had been looking for. She suggested that although traditionally the secretary has kept the archives, perhaps it would be best to begin turning them over to the VHS, as the archives are growing in number and we may loose track of them again. Reidun suggests talking about the issue again in the New Year.

 

b. Reporting of volunteer hours. John reminded everyone that it was time to report volunteer hours to Mari Zagarins at the main club. Ken wondered what sorts of things should be counted and the following examples were suggested: attendance at meetings, leading a hike and preparation for it, and organizing the Taylor series and working at the cookie table.

 

4. Officers' reports and other reports, as requested

a. Membership. Fred Jordan's membership report was circulated. It indicated that the number of memberships is unchanged but that the number of voting members has increased by more than 22 percent. Cynthia wondered if there was a way of knowing how people became members and why they did or did not renew membership.

 

b. Treasurer's report. The treasurer's report was circulated on line.

 

5. Taylor series. It was noted that the front page of Trail Talk gave the date of the Taylor series as January 21, although the calendar states that it is January 14 (which is the correct date). The correct date is also given on both the section's and the main club's Web site. It was decided that an email message would be sent to the section list sometime in early January giving the corrected date. Kevin had brought the posters for the talk to the executive committee meeting and reported that various people had volunteered to distribute them in the area. Kevin himself will distribute posters to Burlington sports shops and to about twenty places in Montpelier and Barre. Ken suggested putting some up in Waterbury and Stowe. Cynthia said she would talk to Mari at the main club about the arrangements. She noted that the speaker is from Morrisville, so he may have suggestions for other places to hang posters. Charlene has organized cookies in the past and will do so again. The speaker has already talked to the main club about the electronic details.

 

NEW BUSINESS

1. Annual meeting. The annual meeting is scheduled for Friday, April 8, at the Vermont College of Fine Arts, with George Longenecker speaking and showing slides from trips to the Rocky Mountain National Park. Further plans will be made at the March executive committee meeting. Reidun suggested borrowing the GMC microphone.

 

2. Nominating committee. Suggestions were made for members of the nominating committee, whose charge is to find candidates to serve as officers for 2011-12. Fred Jordan has volunteered to serve. In addition, three others were appointed (and subsequently have agreed to serve): Ann Burcroff, Joan Heller, and Bob Lincoln.

 

 

The next meeting has been scheduled for Wednesday, March 9, at 6:30, in a meeting room at the Kellogg-Hubbard Library. We need to find out if we are allowed to stay after 8:00, when the library closes.

 

The meeting was adjourned at 8:38 p.m.
