Executive Committee meeting of 08 June 2011

Minutes of the Executive Committee Meeting June 8, 2011

Charlene Bohl called the executive committee to order at 6:59 p.m. at the Old Shelter in Hubbard Park.

Officers present: Charlene Bohl (president), Bob Lorenz (treasurer), Kevin Ryan (publicity coordinator), Nancy Jordan (Trail Talk editor), Ken Hertz (membership coordinator), Cynthia Martin (director), John Buddington (past president), and Kathryn Gohl (secretary)

Officers absent: Eric Seidel (trails and shelters coordinator) and Priscilla Daggett (alternate director)

OLD BUSINESS

1. Minutes of the March 9, 2011, meeting. It was moved and seconded that the minutes of the March 9, 2011, meeting be accepted as corrected and submitted earlier by email. The motion passed unanimously on a voice vote.

2. Bob submitted a detailed treasurer's report; there were no questions. Five disbursements had been made during the quarter.

3. Ken, as membership coordinator, talked about the various reports he receives from the main club, including a membership report; Charlene asked if he would bring the report to the next executive committee meeting or send it to her.

4. Nancy reported that Trail Talk is doing well. Kevin said he had looked into listing GMC activities in Vermont Sports; they had been helpful, and he was hoping to have some sort of publicity going with them soon.

5. Cynthia said she and most of the Montpelier officers had met the new director, Will, and that everyone looked forward to working with him. Priscilla Daggett would be attending the annual meeting in her stead. Charlene said she hoped to go as well, as did Michael Chernick.

NEW BUSINESS

1. Kevin was reappointed publicity coordinator, and Nancy was reappointed editor of Trail Talk.

2. John Buddington was appointed webmaster. Ken reminded everyone that his job of web clerk is not an official position but a made-up one; he expected to have less to do with the appointment of a webmaster.

3. It was agreed that the web site committee would be reactivated and include John as webmaster and Ken as web clerk; Kevin was appointed as well. The committee's job was to discuss technical issues and report back to the executive committee. The webmaster's job description was left to the committee. Some wondered if the web privacy issue should be revisited. John said he would have information for the next meeting about traffic on the site.

4. Charlene said that in terms of goals for the coming year, she hoped the section would be involved in the new Winooski crossing and LT rerouting, and that she's happy with the web site the way it is now. She looked forward to hearing Fred's report on the new crossing.

5. The event planning process was discussed again, and Charlene said that the following Tuesday she would hold a planning meeting at Kellogg-Hubbard. She would be calling people who've not led trips but who would make good event leaders; John volunteered to call some as well.

6. The next meeting was set for Wednesday, September 14, at the Jordans. A planning meeting was set for September 7, with the location to be determined. [Subsequently, the executive committee meeting has been rescheduled for September 7 at the Jordans and the planning meeting for September 13 at the Nuquists.]

The meeting was adjourned at 8:15.
